Sync your calendar with Bookweld
Wiring Google Calendar, ServiceTitan, HouseCall Pro, and the other calendars a 1 to 10 person shop already runs. Two-way vs one-way, and the five day-one checks.
Before you start
Have these in front of you.
Calendar sync is a five-minute task. You do not need to be in front of a tech. You will need a quiet chair, the login for the calendar you want to connect, and two minutes of breathing room.
Which calendars we connect to
- Google Calendar: the default, two-way sync, works with any Google account.
- ServiceTitan: for shops already on ServiceTitan dispatch.
- HouseCall Pro: for shops already on HouseCall Pro paid plans.
- iCal / Other calendar: one-way read for everything else (Apple Calendar, Outlook, Fastmail, CalDAV).
You will need
- The login email and password for the calendar you want to connect.
- Dispatcher or owner-level access for ServiceTitan and HouseCall Pro (read-only accounts cannot authorise).
- A clear answer to "which calendar is the source of truth." Pick one, not two.

Google Calendar
Two-way sync · Free with any Google account

Open Bookweld, click Settings in the left sidebar.

Click Calendar, then click Connect next to Google Calendar.

Sign in to the Google account that holds the calendar your techs book into.

Pick the calendar from the dropdown (avoid the "Holidays" option).

Click Allow, then back in Bookweld click Test sync. A sample event will appear in your calendar within ten seconds.
Heads-up: Bookweld reads existing events and writes new bookings back to the same calendar. If you use multiple calendars under one Google account (e.g. personal + work), pick the work one during step 03. Bookings will not duplicate to the personal calendar.

ServiceTitan
Two-way sync · Available on ServiceTitan dispatchers

Open Bookweld, click Settings in the left sidebar.

Click Calendar, then click Connect next to ServiceTitan.

Sign in with a ServiceTitan dispatcher (the email tied to dispatch, not office staff).

Pick the technician schedule you want Bookweld to read (usually "All Techs").

Click Authorize, then click Test sync. A sample event should appear inside the matched technician schedule.
Heads-up: You will need a ServiceTitan login with dispatch access. Read-only staff cannot authorize the integration. The sync uses your existing pricebook, so updates you make in ServiceTitan after connecting apply on the next call.

HouseCall Pro
Two-way sync · Available on HouseCall Pro paid plans

Open Bookweld, click Settings in the left sidebar.

Click Calendar, then click Connect next to HouseCall Pro.

Sign in with the HouseCall Pro owner login.

Pick the calendar that holds your booked jobs (usually the default).

Click Authorize, then click Test sync. Verify a sample event lands in the right tech schedule.
Heads-up: HouseCall Pro shows Bookweld jobs as "Bookweld Assistant" by default. Rename the integration in HouseCall Pro Settings → Integrations so your techs recognise scheduled bookings at a glance.

iCal / Other calendar
One-way read · Use when nothing else fits

Open Bookweld, click Settings in the left sidebar.

Click Calendar, then click Connect next to iCal / Other.

Copy the iCal URL from your other calendar app (Apple Calendar, Outlook, Fastmail, CalDAV).

Paste the URL in Bookweld and click Subscribe.

Click Test sync. Bookweld will import the next 14 days of events within ten seconds.
Heads-up: iCal is a one-way read. Bookweld reads your events to know your availability but it cannot write new bookings back to that calendar. Use it as a fallback only when nothing else above fits.
Two-way vs one-way
Which schedules sync back to Bookweld.
Not every calendar connection writes new bookings back to your calendar. Pick the option that gives you two-way sync whenever it exists.
Two-way sync
Google Calendar, ServiceTitan, HouseCall Pro. Bookweld reads existing events AND writes new bookings back. Use this whenever the option exists.
One-way read
iCal / other calendar apps. Bookweld reads your events to know your availability, but cannot write bookings back to that calendar. Workaround: pair it with a free Google Calendar that Bookweld also writes to.
Standard offer rule
If a tech is busy on a job, Bookweld offers the next opening within the same day for emergencies, or the next available slot for non-emergencies. It never double-books, and it never books over an out-of-office block.
What to test
The five day-one checks.
Run the list once after you click "Connect". It takes about three minutes, and it catches eight out of ten setup mistakes before your first real caller hits the line.
Verify a test event shows up. Create a one-minute event in your calendar titled "Bookweld test" and confirm it appears in the Bookweld dashboard within ten seconds.
Verify Bookweld can write a booking back. From the Bookweld dashboard, create a manual appointment. Open your calendar and confirm the event lands in the right tech schedule, with the right duration.
Verify the timezone. Open the booking you just created. Start time, end time, and the day-of-week all need to match your local timezone (not UTC). If they are off by hours, fix the timezone in Settings → Calendar → Timezone.
Verify the technician field mappings. After the manual booking lands, check that the assigned tech in the booking matches the assigned tech in your calendar. If "any tech" bookings map to you by mistake, fix the mapping in Settings → Calendar → Techs.
Verify "out of office" events do not get booked over. Mark yourself out of office for an hour, then attempt to book a job on top of it. Bookweld should refuse and offer the next available slot.
Troubleshooting
If the sync misbehaves on day one.
Most day-one issues come from a timed-out OAuth, a tech schedule mismatch, or two overlapping calendars. Here is the four-issue shortlist, with the matching one-line fix.

| The test event did not appear in your calendar. | Open Settings → Calendar and confirm the calendar is listed as "Connected", not "Pending Reauth". Click "Reconnect" and complete the OAuth flow again. Most calendar providers time out authorisations after 30 days. |
| A booking wrote to the wrong tech schedule. | Open Settings → Calendar → Techs and confirm each Bookweld user maps to the right calendar. ServiceTitan and HouseCall Pro are especially sensitive here: the names need to match exactly. |
| Bookings land with the wrong timezone (off by hours). | Open Settings → Calendar → Timezone. Set both the Bookweld timezone and your business timezone to your local time. If you operate across timezones (e.g. Phoenix + Albuquerque), set it to the timezone where your dispatcher sits. |
| Duplicate events keep showing up, one in Bookweld, one in my calendar. | You are probably connected to two calendars that overlap (e.g. Google + iCal from Apple Calendar). Open Settings → Calendar and disconnect the redundant one. Bookweld only needs a single source of truth. |
