Review call recordings from the Bookweld dashboard

Where recordings live, the thirty-second scan, what to look for in the AI summary, and how to mark a call for follow-up or share it with a tech.

Where recordings live.

Every call Bookweld answers is captured in three places at once: the inbox, the dashboard, and the call detail page. You can reach the same recording from any of them.

Three places, same recording

  • Inbox: every call arrives as a one-line email with the AI summary and a play button. Useful when you are not at a desk.
  • Dashboard → Call History: the search and filter surface. Browse by date, outcome, or customer name.
  • Call detail page: opens when you click a row. Audio + transcript + AI summary + the actions (Flag, Forward, Mark Resolved).

Each call has three pieces

  • Audio: the recording itself. Browseable with a playhead and a speed control.
  • Transcript: search the full text, jump to the line you want, copy a snippet into an email.
  • AI summary: three short lines at the top of the call. Most owners skim the summary and only listen on the calls flagged for follow-up.

How to scan a recording

The thirty-second scan.

Most calls do not need the full listen. Here is the four-step scan that gets you ninety percent of the value in under a minute.

Open the recording

From the Bookweld dashboard, click Call History. Each row is one call: the customer name, the time, the duration, and a one-line outcome ("Booked", "Lost", "Callback queued").

Skim the AI summary

Click a row to open the call. At the top you will see a short three-line summary written by the Bookweld agent. It is two sentences and a "what happens next" line. Read those first.

Below the summary is the transcript. Moments the agent flagged (a complaint, a price question, a request for a human) are highlighted in the brand color. Click a highlight to skip straight to that timestamp.

Once you are at the timestamp, the audio player jumps with you. You do not have to listen to the full call to find the line you care about. Most owners spend thirty seconds per call after they have scanned the summary.

What to look for

The three lines in the AI summary.

The summary is written so a tech can read it without listening. Here is the line-by-line reading order.

What they wanted

A one-line version of the caller's actual ask ("AC not cooling, upstairs unit, before Friday"). This is the line your tech reads first.

What we said

The agent's offer in the caller's own words ("we can send a tech tomorrow morning, $129 dispatch"). If the caller pushed back, that push-back is here too.

What happens next

The downstream action ("booked with Jordan at 9am", "callback queued for Diane", "lost, urgent AC"). This is the line that decides your follow-up.

Booked vs lost opportunity

The third line tags the call as Booked, Lost, or Callback queued. Booked means a job is on the calendar. Lost means the caller hung up or refused. Callback queued means the agent booked time for a dispatcher to call them back.

Caller sentiment

A small mood chip sits next to the summary (neutral, frustrated, or warm). Most calls are neutral. Frustrated calls are worth a check-in even when the outcome was Booked. Warm calls are worth a thank-you note.

Marking and follow-up

What each action does next.

Flag, Forward, Mark Resolved. Three buttons, three different downstream paths. Here is what each one triggers.

Flag for callback

Click Flag on a call. The call moves into the Callbacks list on your dashboard and surfaces in the next morning's digest. Your dispatcher sees the customer name, the time of the call, and the original ask without re-listening.

Send to a teammate

Click Forward, pick a teammate, and add a one-line note ("Mike, this is your alley"). The teammate gets an email and a dashboard notification with the recording attached. The flag moves to their queue.

Mark resolved

Click Mark Resolved after the call has run its course (a booking landed, the customer was called back, the complaint was addressed). Resolved calls drop off your main list but stay searchable for the next ninety days.

Sharing with a team

Share by link, role, or forward.

Three ways to put a recording in front of someone. Pick the one that matches why they need it.

Share by link

Generate a read-only link to a single recording. Useful when you want a customer to hear exactly what their technician recommended, or when a partner wants to sanity-check the call quality off-platform.

Role-gated access

Owners, dispatchers, and technicians each see the calls tied to their role. A technician sees their own bookings. An owner sees everything. Read-only auditors (a bookkeeper, a partner on the bench) see a redacted summary, not the audio.

Forwarding to a tech

The fastest way for an HVAC owner to share with a tech is to Forward the call from the dashboard. The tech gets an email, a dashboard notification, and the recording's transcript ready to skim. No login required to listen. Yes, required to read the full transcript.
